Spring/Summer Extensions

Hello everyone, have a few questions about this:

  1. At our school we offer 14 weeks courses, then 7 weeks spring and 7 weeks summer. Do other schools also have something similar with different study period dates?

  2. Have you used or planning to use the new upload function? We were looking at it this morning and it does seem very time consuming.

  3. If you upload the extensions, what kind of back up do you keep for auditing purposes?

Would love to connect with other schools about this.

Please feel free to email me if you would like to discuss this topic or share ideas leticia.simon@ontariotechu.ca.

Hi Leticia - we offer the same with a 14 week spring term and then 7 weeks intersession (May - June) and 7 weeks summer session (July - August).

I have been investigating the online upload function but do not think we will use it. In theory I like the idea of it but I don't think it will save us a lot of time overall since it seems like it would work best for simpler apps only and we'd still need to sort out and find a way to organize/process more complicated applications (co-op students, students with multiple reinstates, etc.). And for those simpler apps we'd still need to be manually entering cost codes and calculating out course loads with intersession/summer sessions, etc. I think it's been helpful to higher volume schools than we are at Laurier and I'm still interested to hear more on how other schools are working with this though too as it may still inspire us to change to using it in the future.

OHL Tuition Benefit

We're having brain freeze this morning....are students whose tuition is covered by the OHL to declare that coverage as income on their OSAP app? And if yes, then up to the student to declare only if over $5,600 per term? Or are these to be declared as an external scholarship on the application in the same way we declare our school's tuition benefit program for employees and their dependents? Thank you!

We have been entering this under scholarship and awards. I am curious if the student needs to report the additional funding they receive from OHL for their living allowance as well. This has been a gray area for a while and needs to be investigated I think. I have heard, but not confirmed that they get a living allowance and at the same time get a living allowance from OSAP.

Download Files Missing

Wondering if anyone was missing download files today? We have no files at all from any years. I emailed the FAO webmaster this morning about it and have received no reply (which is odd - they normally reply fast). There are no system issues reported on the Information portal either that would relate. I will try and send another message to the webmaster after lunch but was curious if anyone else was experiencing this too.

This was an issue again on the 24th too. I emailed the Ministry then as well. As of right now, I can see files.

BRS Reporting - Institutional Awards

Question about how to report an Institutional Award that has 'no need component' attached to it.

We have an scholarhip we have been granted since 2015-16 year. This is funded by a Donor and has no amount from TSA funding. The award is adjudicated strictly on merit/extra-curricular activies and Indigenous status. Specifically this is the outline for the award:

Eligible candidates are full-time undergraduate students, not in Year 1, who are registered at the Laurier Brantford campus and who self-identify as Indigenous persons. The scholarship is granted to the candidate who meets all academic program requirements and has significant extracurricular involvement or volunteer work on campus or in the local community.

Based on the above, once awarded we declare in our BRS upload as 'NON-TSA Bursary/Scholarhip/NON-EXEMPT. This award then is used as a resource in the student's OSAP calculation.

The recipient this year is challenging how we report to the…

Thank you everyone for your input and reassurance! I have an email sent to the Minsitry and will wait for their response before replying to the student again. It is challenging (has gone to our Ombudsperson now) since the Ministry gave out the wrong information, I need THEM to retract to because the student is not believing what I am telling them (she isn't being beligerent, just being firm on what she wants and expected). Will see where this goes.

SLT Reviews

Good Afternoon everyone. I have a question regarding the definition of "personal vehicle" for the additional local travel allowance. What do your FAOs do regarding proof of "personal vehicle" Do you ask for ownership? 26 years plus in Financial Aid I don't recall ever asking for this. Nowhere in the manual or on the review application itself is that a requirement for supporting documentation. I would truly appreciate any feedback!

I don't think you need proof that the student owns the vehicle because it could be a borrowed family vehicle or a shared ride with friends where they're splitting gas costs.

BC SIMs Portal

Does anyone know if the login link has changed? I had it bookmarked to be able to login to SIM's (for PT BC apps etc) but when I click it takes me to the SIMs page with the resources and the top right where it shows 'login/register' when I click there it now goes to more student pages where they can apply for FT or PT logins and nothing for a school.

I am sure I am missing something simple but... I can't seem to find where to now login....
