RE: Ministry Memo - Third-party record keeping software, personal information and OSAP data
Hello all,
I'm sure everyone received the memo titled above yesterday, and it is quite vague. Currently, Conestoga uses an in-house student information system. The college is in the early stages of preparing for a vendor search for a new student information system. We anticipate our new SIS will be an out-of-the-box third party software. I have reached out to the ministry to see if they will provide more details on software that may be of concern, but in the meantime does anyone have any indication of what systems the ministry is concerned with?

I finally received a reply after I followed up. They asked a series of questions (included below for info). I have not received a response to my response (June 27): Thank you for your email and information. I have a few questions to better understand the process and the documents being stored:
When will privacy impact assessment be completed?
Is the cloud storage within Canada?
How long will the documents be stored for?
What types of supporting documentation is being stored:
OSAP supporting documents?
Institution/student specific documents?
Identification?
Documents with SINs
What happens when the information is submitted by the student:
It is reviewed and approved or rejected?
Are documents sent to the OSAP Image system for each individual student, uploaded to our system?
Are students also uploading their supporting documents to the OSAP system?
Are FAAs accessing OSAP through this system?
