Monitoring Active participation: Looking for guidance
Hello,
I am writing to inquire about the procedures your financial aid office has in place to monitor active participation among students.
Currently we are in the process of restructuring our procedures on how to properly monitor active participation as defined in the OSAP academic progression policy and thought I would reach out to the group to see if anyone can share how your institution monitors this by answering a few questions or explaining your procedure.
· Do you have a specific grade to show for non-participation (e.g., DNA,NG, NTE, etc.)?
· Do you inquire further in a student receives all F’s or Incompletes?
· Do you receive a specific report that allows you to monitor nonactive participation?
· Do you confirm nonattendance/ no submitted grading material with instructors/coordinators?
· Do you provide information about appeals if applicable?
I truly appreciate your time and assistance in providing clarity on these matters if you are able to do so.
This will greatly help us with understanding how other financial aid offices are proceeding with this to ensure we are using the most practical approach to monitor active participation.

sharing in case others would like to see how we do it at Cambrian:
Do you have a specific grade to show for non-participation (e.g., DNA,NG, NTE, etc.)? No. However, we use a grade report and consider grades of 0-10% to be non-active participation and are removed from course load
Do you inquire further in a student receives all F’s or Incompletes? No. If the removal of the 0-10% grades results in the student dropping below eligibility CL (60/40), we withdraw as of week 1 of the applicable term. They are sent a message through their OSAP MC as to why their SP was adjusted. Incompletes (I grades) are considered failures under the 'private extension' policy
Do you receive a specific report that allows you to monitor nonactive participation? Yes, delivered 3 weeks after term end and returns grades of 0-10% and straight F grades where there is no actual grade (no number) for say a Pass/Fail course or other.
Do you confirm nonattendance/ no submitted grading material with instructors/coordinators? No. However, as part of the appeal process, the student is suggested to get reports from the programs area that demonstrates participation
Do you provide information about appeals if applicable? Yes, in the OSAP MC, the student is provided with extensive comms as it pertains to the term that was adjusted
